Administrative Secretary II Public Works Department $26.73 - $31.93 per hour, 40 hours per week
Summary:
Under the general supervision and direction of the Public Works Director, independently performs a wide variety of highly skilled, responsible and confidential secretarial and administrative work requiring initiative and considerable independent judgment.
Position Description and Job Functions:
- Receives oral or written direction from the Public Works Director or his/her designee, Highway Superintendent, and/or the Supervisor of Buildings and Grounds.
- Plans and organizes work according to established or standard office procedures.
- Determines priority of work tasks.
- Screens telephone calls, greets visitors, and provides information on departmental services; refers questions to appropriate person when necessary.
- Operates a personal computer to carry out a variety of document and report production, internet research, e-mail management, creates work orders, and data management functions.
- Gathers, compiles, and coordinates data for action by supervisor.
- Types and transcribes letters, reports, and meeting minutes of some complexity from rough draft, or shorthand notes.
- Organizes and composes routine correspondence and reports.
- Performs special assignments, surveys, studies and other administrative functions as directed. Has knowledge of or ability to acquire engineering/construction terminology.
- Oversees maintenance of accounts receivable/payables for the department. Contacts vendors as necessary to coordinate proper billing and correct invoicing errors.
- Assists in the preparation of department budget by compiling information, making calculations as needed, and typing budget proposals. Maintains files on annual budget process and supporting documents.
- Provides secretarial services to departmental staff as required.
- Assist in preparation of Grants.
