POSITION DESCRIPTION

The Herbert Wertheim College of Medicine is currently seeking a Program Specialist to join our team of professionals.

Duties include:

  • Provides support to the Medicine and Society Strand Courses and electives, including but not limited to arranging logistics, assisting in developing syllabi, help in orienting students and monitoring progress, proctoring exams, entering and submitting grades, and developing and maintaining online course presence.
  • Manages and organizes incoming and outgoing emails from shared inbox, implements and maintains efficient mail processes and workflows, and ensures timely and accurate responses to emails and inquiries from faculty, staff and students.
  • Maintains course/student databases, such as course reviews, faculty student evaluations, and other relevant materials. 
  • Serves as back-up to the Community Engaged Physician (CEP) Program Manager, as needed. Serves as the liaison between the CEP course team and the Patient Client Access Office.
  • Assists with training of team members, as needed.
  • Performs related duties as required or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
  • Facilitates scheduling of course faculty facilitators by providing information on course -specific objectives, and schedules meetings with course directors as needed.
  • Assists course director with maintaining accurate course records and files for three credit courses and electives developed for the Medicine and Society Strand, including but not limited to assisting with the maintenance of the NeighborhoodHELP visit student audit for the Community Engaged Physician (CEP) course series
  • Organizes course/program orientations for preceptors and students, including gathering, preparing and distributing materials, and facilitating follow-up items.
  • Assists with organizing and preparing course/program meetings, including gathering agenda items, preparing meeting materials, sending out meeting reminders, reviewing and maintaining faculty calendars for teaching assignments and student meetings, notifying faculty of key changes, and taking and distributing meeting minutes.
  • Provides administrative support to the faculty strand courses
  • Provides administrative support in the classroom, including assisting with the preparation of course materials, collecting and distributing assignments, and transcribing evaluations.

MINIMUM QUALIFICATIONS

  • High school diploma or GED and six (6) years of office or related experience coordinating functions of an office or department.
