Grant Administrator III - Community Based Research Institute– 533552

Job Summary:

The Grant Administrator III at Florida International University's FIU-RCMI and the Community Based-Research Institute (CBRI) will assist center directors with oversight of their grant funded research portfolio. This role involves working closely with Principal Investigators (PIs), Center Program Managers and the Office of Research & Economic Development (ORED) to ensure compliance with federal, state, sponsor, and university regulations. The position provides compliance/oversight of large or complex pre-award and post award activities, including but not limited to: managing multiple fiscal and accounting functions, developing budgets, and providing guidance on grant-related matters.

  • Manages various fiscal and accounting tasks, interprets administrative rules, and develops new forms as needed to streamline operations and ensure compliance with internal controls and best practices.
  • Reviews travel authorizations and expense reports, ensuring that cost justifications and supporting documentation meet FIU and sponsor policies.
  • Creates budgets and advises Center faculty on fiscal and administrative matters related to grant proposals, ensuring expenditures comply with guidelines.
  • Advises Principal Investigators on the most effective ways to achieve an effective quality proposal and coordinates a timely submission process, ensuring appropriate approvals.
  • Oversees the Pre and Post administration of large and complex contracts and grants.
  • Assists with effort reporting certification to ensure accurate budgeting and reporting on projects, and process payroll transfers as needed.
  • Works with the Center directors and HR representative for new and continuing hires on grants.
  • Collaborates with Center Directors and Program Managers in planning, directing, and reporting on research projects, interpreting policies, and recommending changes as needed.
  • Manages subcontracts, ProCard purchases, consulting agreements, and other research agreements, assisting PIs with agreement requests and reviewing invoices for compliance.
  • Monitors grant expenditure progress, prepares projection reports, and resolves budget exceptions.
  • Works with PIs and Center Program Managers on grant award setup, expenditure projections, and reporting schedules, ensuring adherence to deadlines.
  • Manages the transfer of charges during the grant close-out process, ensuring all work is completed and final invoices are submitted.
  • Resolves budget exceptions, process non-payroll transfers, and assist with grant transfers and carry-over requests.

Minimum Qualifications:

Bachelor's degree and four (4) years of grant or contract administration experience OR Certified Research Administrator (CRA) and four (4) years of grant or contract administration experience OR equivalent combination of education and eight (8) years of grant or contract administration experience; OR an equivalent combination of relevant education and/or experience.

Departmental Requirements: Must complete the University Research Administrator Certificate Course within 30 days of hire.

Desired Qualifications:

  • Experience with financial projections.
  • Experience in managing awards with federal agencies.
  • Advanced computer skills including proficiency with Word, Excel, Power Point.

Salary: $70,000 - $75,000
