Job Summary:
Supports the Office of the Provost - Planning and Finance in monitoring and analyzing the financial performance of the Division of Academic Affairs. Supports FIU Office of Academic Planning & Accountability (APA) in monitoring and analyzing the financial performance of the Continuing Education and Dual Enrollments units. Works width various levels of management within the business units as well as centrally related to budgeting, forecasting, and financial performance.
- Oversees the compilation, monitoring, analysis, and reporting of budgetary performance, including budget variance. Assists with the annual review and approval process of College/School budget/fee submissions into PeopleSoft Financials System for Credit and Non-Credit programs. Assist with the review and approval of Micro-Credentials badge programs.
- Prepares draft Continuing Education for credit reports related to market rate and self-supporting programs in alignment with Florida Board of Governors' guidelines and requirements and/or The Florida International University's Board of Trustees.
- Assists in the development, implementation, and interpretation of APA internal policies and procedures, including the development of a Continuing Education Handbook. Provides recommendations to leadership on financial and operational procedure changes related to areas of responsibility in support of APA's strategic goals and objectives for Continuing Education and Dual Enrollment at FIU.
- Provides general guidance to ensure transactions comply with federal, state, and /or University guidelines, policies and procedures. Assist in the development and implementation of the annual Continuing Education training workshop for the academic unit.
- Performs purchasing functions in relation to purchase orders, expenditure/invoice processing, and reporting. Manages the disbursement of Auxiliary funds to the respective academic units in a timely manner.
- Serves as the merchant account's primary contact. Handles sensitive cardholder information and/or processes credit card transactions for the department/unit.
- Serves as the University's credit card approver and user for departmental transactions. Assures compliance and adherence to University's credit card policies and procedures.
- Works with the Colleges/Schools and with APA and Provost Office in the evaluation of the financials of Credit and Non-Credit Continuing Education program proposals to determine appropriateness and feasibility. Reviews Credit and Non-Credit Continuing Education program revenue and expenses and monitors for sizable variances, non-related expenses, and any other perceived questionable transactions in regards to fiscal compliance. Prepares financial reports on self-supporting and market rate programs.
- Reviews periodically the application of APA and Academic Affairs fees through Peoplesoft Financials Automated Allocation process against FIU Colleges/School's Credit Programs. Supervises the periodic invoicing of FIU's Non-Credit Continuing Education Programs, as well as the surrounding Miami-Dade School District and Broward School District FIU Dual Enrollment program budgets, invoicing, as applicable, and accounts receivable.
- Develops analytical data, strategic analysis, reports and forecasts of the Provost Office support units' budgetary and financial activities. Creates forecasts and budget variances, including cash flows, budget position, and analysis of variances to ensure accuracy and identify budget shortfalls or overages to be reallocated as necessary.
- Assists in the development of the annual operating budget for the Office of APA's Continuing Education and Dual Enrollments units. Analyzes current and past budgets to develop short-term and long-term forecasting, impact of revenue streams and feasibility of operational expansions.
Minimum Qualifications:
Bachelor's degree in a related field and five (5) years of related experience or Master's degree and three (3) years of related experience.
Desired Qualifications:
- Experience working in Higher Education.
- Knowledge of advanced features of Microsoft Office Suite (e.g. Excel).
- Experience using Peoplesoft Financials.
